Tracking Job Cost with Peachtree or QuickBooks Software

However, the more complicated your job processes and configurations and the longer the life cycle the more critical to track real time actual expenses and committed expenses while the job is in progress.

Tracking Job Cost with Peachtree or QuickBooks Software

Have you ever completed a large project or job and handed that stack of paperwork to an administrative type to calculate your costs in excel? Are you one of the more organized managers who track your costs in Excel as the job is in progress? Months after a large project are you still recording lagging unexpected expense items? Have no fear you are not alone. But this can be easier. The main components to consider when tracking jobs expenses Material, Labor, and Outside services

Other considerations should be labor overhead and/or burden overhead. Over head are all the payroll related expenses not included in worked hour gross wages such as insurance, bonus, vacation and so on.

Overhead may include your rent, phone expenses, administrative and sales salaries and so on. For larger jobs change orders should also be tracked separately and should include revenue and costs estimates. You want to make sure change orders are billed back to your customer prior to the job being considered closed. The last factor to consider when working on managing total project costs are committed costs. Committed costs are goods or services contracted for that have not been received or expensed to a job.

Finally what you should also think about is establishing budgeted expenses in the beginning of a job. Somehow, someone calculated what they thought the job was going to cost. Hopefully, they used that information to then calculate how much to charge the client. What this exercise does for you is give you the tool for 2 things.

a. Monitor actual expenses to budgeted expenses as the job is in progress. This is extremely important if you have budgeted for example 100 hours on a job and when you are 50% thru the job if you have already expensed 80 hours to the job Houston it could be a big red flag that you are way over budget. In this example at least you know about this prior to the completion of the job and if there is a chance you can modify expenses to the job you are in a position to do so.

b. Measure actual expenses to budgeted expenses when the job is done so you will know your real profitability. Just like any good system that delivers good business information you will need to find both a software that provides this type of tracking features and find someone who can help you set up this type of system so that it works in tandem with your business processes to deliver good business information.

While the economy has everyone shopping for bargains be careful to interview the person who will be helping you set this up. Ask for referrals. One of the most important steps in the process is a needs analysis. A lot of businesses install the software before they review what it is they need to software to help them do. A complete discussion of how you need reporting on recorded job costing transactions eliminates spending a considerable amount of time retro-fitting your system once you get up and going.

Just be aware; no one will care about paying close attention to this type of detailed business information as you will. No one!

Managing the Paperwork Managing the Paperwork - Greetings All, As we all know, when an Entrepreneur starts his/her business, there is a ton of paperwork to deal with. Who wants that? All we want to do is do our work and make money while solving people's problems with our brilliance! The purpose of this thread is to find out what everyone has done to manage their paperwork/bills. I, for one, am horrible at managing such things. I still have quite a number of receipts that have to be inputted into QuickBooks Pro from last year! I'm a techie and can fix pretty much any PC issues or develop some awesome online marketing ideas for businesses....but please, dont' ask me to figure out how QBPro calculates taxes and why the GST has to be separated in the setup and inputting in the Enter Bills area. To me, this is confusing (and you too after re-reading that paragraph....) So, in the past I tried a high-school Co-Op student. This was a brilliant way to get someone who knows QuickBooks and did not cost me any money. The downside, rules stated that I could not leave him alone. So if I went out on a call, so did he. He brought paperwork to do stuff while we were out so it wasn't too bad. The other downside, he didn't truly want to be an accountant as he was late at _least_ once a week as well as absent at least one day a week (keeping in mind he was only with me 4 days a week). A pure example of someone being forced to follow a parent's footsteps. So, that little experiment went well. I did get some great work from him when he was there. I still used a regular accountant to do my taxes and they talked back and forth easily to make sure my stuff was inline. I would consider doing this again. Currently, I am looking at hiring someone for a couple of hours a week. My schedule is not at all static. I could be in Algonquin Park one day and Sarnia the next. So, having someone work once a week is a much better solution for my scenario. Has anyone done anything different? If so, what has and has not worked for you so far?
QuickBooks vs. Microsoft Money vs....? QuickBooks vs. Microsoft Money vs....? - I have always used Microsoft Money to run my business - accounting, invoicing, etc. It came with my computer when I got it and integrated well with my online banking system so everything is a breeze. It only takes 30-60 minutes every quarter to do the bookkeeping (keep in mind that I have a very simple business - no inventory, very little invoicing, I do all my payments by credit card, etc).
