7 Sure-Fire Signs of Trouble in Your QuickBooks File

7 Sure-Fire Signs of Trouble in Your QuickBooks File

Pull out a sheet of paper and check your responses to the situations below - how many of these problems do you have in your QuickBooks file? 1. You look at your Profit and Loss Report and just know it isn't correct - as a result of double-clicking around inside the report, you see some expenses posted to income and income posted to expenses and/or other problems that really stand out. Given that your Profit and Loss report is the most critical report your business needs, it is important to get it under control as soon as possible.

2. You only run a Profit and Loss Report at tax time - my only question is: "Why don't you do this every month?"

3. You haven't reconciled your bank or credit card accounts in QuickBooks recently (or ever for that matter). Reconciling is a critical step in your accounting system to ensure that QuickBooks is in sync with your bank account. If it isn't, the discrepancies should be ironed out.

4. You run your Accounts Receivable (A/R) Aging Summary Report and $0.00 appears in the total column - by design, if a customer account has been paid in full, and the payment has been properly posted, the account will not show up at all on this report. If it is showing up, it means the customer payment hasn't been correctly posted to the customer invoice.

5. You run an A/R Aging Summary Report, and it is littered with incorrect balances over 90 days, credit balances, etc. - the intent of this report is to keep track of each dollar that is due to your business. If it is cluttered up with incorrect data, it makes the job of tracking and collecting that much harder (and that job isn't easy to begin with!)

6. Your customer center is still showing customers that aren't active - use the Make Inactive feature to keep your customer list as cleaned up and easy to use as possible. By making select customers inactive, you don't have to scroll through them each and every time you use the customer list - makes things a lot faster that way.

7. You rarely backup your QuickBooks data - don't gamble with your QuickBooks (and other important) data. Make sure you have a solid backup strategy in place. I use Mozy for all of my backups. It's easy and it's inexpensive - your data is worth it!

When Webhost providers go bad When Webhost providers go bad - I've had my websites on IPower for the last two years or so. I didn't really care much for their interface - geocities has one that's much better (but they angered me so I refuse to use them anymore) but I was used to it. For the last several months they've been "transitioning" to a new system, and now, finally, it's upon me, and I really, really hate their File Manager system. They've done [i:2kaa5kss]one [/i:2kaa5kss]good thing - you can now see the date that you last updated any particular file. Before that you never knew what date anything had been uploaded. But the rest of it is just clunky and bad and quite frankly, inept! I just shot off a pretty angry complaint letter to their "Help" desk, not that I think it will do any good. So I'm in the hunt for a new web service provider. Anybody here familiar with Geocities, but have some service provide [i:2kaa5kss]other [/i:2kaa5kss]than Geocities who has the same type of File Manager system as they do?

Managing the Paperwork Managing the Paperwork - Greetings All, As we all know, when an Entrepreneur starts his/her business, there is a ton of paperwork to deal with. Who wants that? All we want to do is do our work and make money while solving people's problems with our brilliance! The purpose of this thread is to find out what everyone has done to manage their paperwork/bills. I, for one, am horrible at managing such things. I still have quite a number of receipts that have to be inputted into QuickBooks Pro from last year! I'm a techie and can fix pretty much any PC issues or develop some awesome online marketing ideas for businesses....but please, dont' ask me to figure out how QBPro calculates taxes and why the GST has to be separated in the setup and inputting in the Enter Bills area. To me, this is confusing (and you too after re-reading that paragraph....) So, in the past I tried a high-school Co-Op student. This was a brilliant way to get someone who knows QuickBooks and did not cost me any money. The downside, rules stated that I could not leave him alone. So if I went out on a call, so did he. He brought paperwork to do stuff while we were out so it wasn't too bad. The other downside, he didn't truly want to be an accountant as he was late at _least_ once a week as well as absent at least one day a week (keeping in mind he was only with me 4 days a week). A pure example of someone being forced to follow a parent's footsteps. So, that little experiment went well. I did get some great work from him when he was there. I still used a regular accountant to do my taxes and they talked back and forth easily to make sure my stuff was inline. I would consider doing this again. Currently, I am looking at hiring someone for a couple of hours a week. My schedule is not at all static. I could be in Algonquin Park one day and Sarnia the next. So, having someone work once a week is a much better solution for my scenario. Has anyone done anything different? If so, what has and has not worked for you so far?
