As a business owner you have a responsibility to safe guard your customers/clients personal information. Here are some tips for you to do that.
1. Have a good reason for requesting the personal information you gather.
2. Acquire personal information in a safe manner so that it cannot be overheard or seen by others.
3. Limit the availability of personal identifying information to selected staff.
4. Control access to databases containing personal information with passwords.
5. Shred paperwork containing personal or sensitive information.
6. Render electronic documents and databases containing personal information unreadable prior to disposal.
7. Avoid displaying, using or exchanging personal information (especially Social Security numbers -- but also employee or membership cards, timecards, work schedules, licenses or permits, and computer access codes).
8. Conduct regular background checks on ALL employees (including mailroom staff, cleaning crews, temp workers, and computer or hotline service techs) with access to identifying or personal information.
9. Train personnel in the proper procedures regarding information handling and disclosure.
10. Use alternative identifiers for employees, clients and customers and require health insurance providers to do the same.
