If you send frequent letters other documents through the mail, make labels for your recipients and print several at one time. You might divide a sheet of 30 labels by printing 10 labels of 3 different address at one time. When it's time, just stick a label to your envelope and add a stamp. You save time by eliminating the writing and looking up the address.
You can also create envelopes in a word processor program and save one for each vendor, providing easy access and quick printing. Include your return address and logo as well. Save all of your "envelopes" in a folder called "Envelopes" on your desktop, and you're just a few clicks away from a neatly printed envelope whenever you need it.
Or, invest in a standalone label printer, one of the best resources that I use on a daily basis.
Mine is a LabelWriter model by Dymo. The accompanying computer software saves all of your contacts' addresses in an address book allowing for point-and-click label printing, and you can print each label one at a time, as you need it. I have saved a standard design for a 2" x 4" label that includes my return address and logo, eliminating the need for another label.
Why this matters...
If you don't have a mailing process down, you will spend a lot of time looking up addresses and writing your return address over and over again.
Automating this process helps speed up administrative tasks and eliminates errors.
To increase your productivity, you should take advantage of the technology you have available to you, even for simple things like preparing your mail.
