As soon as you hear that you'll be traveling, and you find out your destination, Book Your Trip. In case you don't have an administrative assistant, you'll want to find out who your travel agency is, or if the company doesn't have one, you'll need to find out what your company policies are. This may include company discounts on certain items such as hotels or car rental.
Book your trip immediately so there is ample lead time to ensure the least cost to your company (this is being a good corporate citizen). Saving your company money is always a good thing and last minute arrangements will only add stress to your trip.
There are hotels that give a tip of the hat to business travelers, but there are other hotels that go out of their way for business travelers. Hampton Inn is one of those. Amerisuites is another. I choose these hotels because they cater to the business traveler. Did you know there is a race to provide you, the business traveler, with the best free breakfast? Dried up rolls are a thing of the past and those two hotels know that.
If Hampton Inn and Amerisuites aren't in the cards for you, check the basics: Do they have free WiFi? That should be standard like towels don't you think, but for some reason it still isn't.
Do your homework on where the event is compared with where you'll be staying. Sometimes the location of the event is far from where you're staying. Google the location of the hotel and the event to make sure you're at least in the area. You might even want to do a trial run once you're there in case of construction, detours, and to see traffic tie-ups to see travel times.
