Pre-written emails to the rescue

Email is awfully invasive, no way around it these days, but it’s also awfully effective for all types of communication and response.

One of the ways that I’ve found to get a little bit of control over the beast, while also making sure that my responses are well crafted, is to pre-write email responses to many of the common requests I receive. The idea here is to write emails that contain powerful marketing messages while you have the time and mindset to do so and not in a quick response. These types of marketing messages can allow you to send consistently well-written messages without the temptation to drop in to shorthand. (nbd;) is only acceptable if you are a teenager marketing to another teenager.)

You can create a list of typical responses to requests for:

Product or service information
Guarantee and warranty information
Sales terms and pricing
Special offers and bonus offerings
Glad to meet you at the networking event
I would like to introduce you to a strategic partner
Please consider a joint venture
I’m looking for one more great salesperson

The list could go on and on dependent upon the types of emails you write most often.(I get asked for certain links to resources all the time, so I automate those replies.) There are lots of options for autoresponder types of campaigns that send out emails in response to a question, but in this case, I’m talking about more of the 1-to-1 communication that you do all day long. These emails are not robotic cut and paste marketing messages as much as they are meant to be templates that you can start with knowing that you have a well-written message that only needs a little tweak here and there to personalize and send.

I use a little scripting automation program called Quickeys to program pre-written text into key combination shortcuts - so my “thanks for doing so and so” email is completed in response to ctrl+d or some combination of shortcuts you assign. There is a Mac and PC version available.

Re: When is your interest peaked by unsolicited mail? Re: When is your interest peaked by unsolicited mail? - The worth spammers are like the one I got today. They have no shame, they will subscribe to your newsletter and use it to reply and spam you. The subject line is usually "RE:your subject", I recognize my emails, and this just make me so angry, because I am opening these emails, maybe one of my readers need my help, and this "lady" today, saying thank you for a valuable info, and then writing more and more and some more on her business, and how she made money, when we know she didn't, otherwise why is she sending me spam? 4 emails like this, the same text, from the same person, replying to 4 emails sent by my autoresponder. I have other things to do with my time, like sleeping!
Re: What i hate... Re: What i hate... - [quote="Trent Brownrigg":3srgv506]It does suck when people don't reply to emails. However, you need to take into consideration that some of them probably get hundreds of emails per day that they would have to reply to if they replied to them all. And with all the spam these days it's easy for a legitimate email to get overlooked or lost. I'm sure more often than not they are just not replying because they don't want to but there are some good reasons that might be the case.[/quote:3srgv506] I agree with Trent on this point. Also I think a lot of emails are sent from auto responders and they are general ones that go out to everyone one on the list, so many of these don't require answers. It's true that I also don't open emails if they come from someone I don't know. Who know what kind of virus can be in there. MichelleJ

Re: Awesome Resource: Instapaper Re: Awesome Resource: Instapaper - So far the only thing I use the filters for is to send all the safelist emails I get to a folder. It currently has over 386,000 emails in it. This is a really good tip though. I need to start utilizing it. Emails eat up too much of my time right now.

I keep telling myself to leave the emails till later, but then I worry that there may be an important one that needs immediate attention. MichelleJ
