How to Void a Check

How to Void a Check

Voiding a check is necessary from time to time. By definition voiding a check is not the same as a "stop payment" on a check. Voided checks are often used when setting up a direct deposit for an employee or as proof of a bank account. Still properly knowing how to voice a check is important in business as getting it wrong will mean basically handing a blank check over someone else.

The first thing to remember is to use an ink pen. Use a pen that is not erasable. An indelible felt marker can be used, but a standard felt tip marker will probably not work well. The reason for this is that in addition to marking the check you want to leave an impression in the paper.

Where to put your "void" message is kind of important as well. Make sure it crosses the "payee" line on your check, or cheque if you write in the Queen's own. It is advised that you do the same on the front and back signature line and in the amount box. If that seems over-excessive, it might be, but it beats any future hassle. This is for a blank check. For a check that's already been filled out, just big bold letters across the front and back written at an angle works just fine.

Keeping your voided checks is a pretty important thing to get into the habit of keeping your voided checks. Thing about all the times you write a check and it gets scanned into the register. Sometimes, though rare, the register will eat your check or even reject it but keep the number anyway. Later when you reconcile your account, you discover an amount missing. This literally is a one in a million shot, but has happened in older check validation systems. Also, account for and shred your checks all at once. Tearing up in not shredding either. Use a shredder.

If someone can get your routing number and account number off even a voided check, there is always the possibility of them writing an e-check using your account. There are some websites and institutions that really don't care where they get funds from. Treating even voided checks as if they were worth some money is a good idea- because realistically they are.

Treating your voided checks like money and accounting for every single one when you do your account reconciliation will also keep you from making the classic mistake of "where did that check go." In some cases it could even save a marriage. Voiding checks, luckily, is not something many of us have to do on any regular basis.
