Tips For Using Attorney Billing Software To Improve Law Firm Collection Rates

You might think the number one job of a law firm is practicing law, but firms are dedicating a growing number of resources to debt collection. Rather than turning your business into a collection agency, utilize your attorney billing software to implement a few smart accounting policies to increase payment rates and reduce the amount of collection activity. Start With Effective Billing Policies

Are your clients confused by your bills? The invoices put out by your law firm billing software should be uncluttered, free from legal jargon, and have a consistent format regardless of the number of attorneys who submitted billing information. Services should be itemized, even those performed for free since the latter remind clients of value received.

Audit attorney billing software invoices to be sure they are accurate. Clients won't pay erroneous charges, and may simply ignore the invoice rather than calling about it. When auditing, don't just look at the numbers. A simple typo can confuse the client or make the firm look incompetent.

Bill quickly after services are rendered. Clients are more likely to pay for recent services than for older ones, so enter charges into the law firm billing software and mail out the invoice immediately, even for ongoing cases.

Follow Up On Unpaid Invoices

Send invoices generated by your attorney billing software monthly as long as the client has an outstanding balance. It's easy for an invoice to get buried in a pile of paperwork, and polite and timely reminders of monies owed greatly improve the collection process.

If a client has received invoices and has not paid or contacted the firm, don't just keep sending bills. Take a more active role. Call the client and ask if there is a problem. The client may be stewing over an erroneous charge, or may be having cash flow problems which prevent timely payments. Either way, once you understand why payment has been delayed you can work with the client to find a solution.

Offer Flexible Payment Options

Debt collection shouldn't be a black and white situation. There are many options between mercilessly hounding a client for payment and writing off the bad debt as a loss.

Some law firms are reluctant to extend credit to clients since they can't afford to assume the liability. Rather than offering a straight payment plan, propose scheduled credit card payments through the law firm billing software. These payments go through automatically, and many people are more willing to agree to credit card payments than try to find the cash every month.

Firms might also consider partnering with credit agencies that assume the debt liability. The arrangement benefits both the firm and the client, and can easily be administered through attorney billing software.

One last note: don't forget be appreciative of your customers! Any invoice generated by your attorney billing software should automatically include a thank you note for the client's business.

Attorney billing software simplifies the process of creating invoices, but can help with collection as well. Well-designed law firm billing software invoices, combined with proactive collection policies improve payment rates and maintain positive client relationships.

Wills, Power of Attorneys personal, bank, health Wills, Power of Attorneys personal, bank, health - These four items are important even if you don't have a business. You don't have to have a Will because the law has procedures that are in place just incase someone dies without a Will. It is call dieing intestate. However, it can be an expensive process for your beneficiaries and your estate may not go to who you want it to go to. A Will - helps you set up where you want your assets to go to and who they go to. They set out your wishes for the business as well. In Ontario, you do not have to have a Will prepared by a lawyer but sometimes it is in your best interest to do so. There is a lot of info on the internet and kits that are available but they key to this are the witnesses to your signature. You may want to write it yourself and then have a lawyer witness the signing of the Will. If you handwrite you’re Will then you don't need to have it witnessed. But the entire document must be in your handwriting no typing allowed. The Power of Attorneys - Personal or Health Personal - This gives someone consent to act on your behalf if you can't due to physical or mental disabilities. The Power of Attorney goes into effect only when you are incapacitated or you authorize it. So it can be signed and ready to be used but only takes effect when you are ready to use it. You don't need a lawyer to prepare these - there are kits on the internet, there are kits that the government have where you can fill in the blanks. But if you have an extensive estate I would take it to the lawyer because their could be other issues that need to be dealt with. Health – This Power of Attorney outlines what you want to happen in case of medical emergency, for example, do you want to be revived if there is no hope of recovery, is the most common reason, maybe the type of treatment that you want to receive for the particular illness you have. This Power of Attorney protects your health rights when you can't speak for yourself and it gives someone else the right to speak for you. In the Power of Attorney you would outline your request and designate someone to carry them out. Bank - This one designates someone to look after your finances if you aren't able to do them. The banks have special procedures and these forms are completed at the bank. So if you became ill then your designated person can take care of your finances until you are ready to resume doing them. The Power of Attorneys and the Wills are legal documents and they can be revoked or changed at any time. If your estate is very large then I would suggest that you have a lawyer prepare these documents to protect your interest. Again, the law does not have the same rules as a married spouse so this would protect the surviving partner in a common-law relationship. I realize that most of the subjects that are discussed on this site are concerning growing your business but I deal with the hidden aspect of the business as well and these could affect your business as much as if you can't find that next client. Happy and Prosperous New Year Everyone

Still Exploring for loan Still Exploring for loan - Rates got were 6.125% about a month ago for 30 yr fixed (the was FHA though - prefer FHA over doctor loans because most of them have hidden fees and/or are locked for only 3 years... maybe 5 years. But I'm still looking into the doctors loans). Haven't checked rates since but will be checking this week. I had a friend do a "professional loan" with a broker that advertised with my husband's med school, got about 5.8%. Granted its not fixed for 30 years. We might reconsider but since we know we won't be in the house less than 5 years and arm rates are NOT competitive.
