12 Steps to Implementing Anything in Your Business: Step Two: Define Your Assignment in Writing
The reason for doing this is the fact that people may have differing views as to what the assignment entails and what its goals are.
Ideally you need to be able to sit down with your staff, define the assignment verbally, answer any questions there may be, and then issue a written memo outlining what has been agreed.
While all of this may seem very simple and management 101, the giving of assignments is usually not treated with the consideration and respect it deserves.
For effective execution, you must define the assignment early on, and sort out all the issues.
The basic issues that you need to cover are:
1. What is the goal of the assignment, what is the expected outcome.
2. Why is the assignment being taken on, what will its benefits be.
3. What is the timetable for completion?
4. Who will be executing the assignment and in what capacity.
5. To whom is progress reported to, when and how often?
6. What are the rewards and penalties associated with success and failure?
Once you have done this, and answered the basic questions, you need to make sure that your staff has a solid understanding of the assignment and their roles in executing it.
Doing this will make sure that everybody is on the same wavelength so there can be no confusion further on down the line. Taking this time to clarify the assignment is crucial to the success of the execution of the assignment.
The key point I want to get across to you is that before you get going on your implementation efforts, define and shape as best you can, your assignment first.
