How to Prepare for a Difficult Conference Call

Most conference calls - even when they involve participants from different organisations - are polite, orderly and even-tempered. However, occasionally you might be on a call that involves hostile participants or other types of difficulties - such as:

This sort of call requires particular skills. Observe three guiding principles when handling difficult calls:

1. Knowledge is power

2. The earlier the better

3.Formality and structure give control

Knowledge is power

First, the more you know about what you're likely to face, the easier it is to manage it effectively and still meet your outcomes. This knowledge comes in many forms:

The earlier the better The more you can anticipate the potential problems and plan for them, the easier it is to manage them. There's nothing worse than being caught off guard when somebody "innocently" springs a potential deal-breaking question right in the middle of a call that was going smoothly!

You can do a number of things to prevent - or at least minimise - the problems before the call:

Formality and structure give control Formal meeting procedures are the chair's biggest weapon when facing a difficult or hostile meeting. All participants must speak "through the chair", which means the chair can regulate who speaks and for how long. The chair can reprimand participants for breaching points of order and, in some instances, has the procedural power to expel people from the meeting.

However, formal meeting procedure is becoming a lost art in business and may not be practicable to implement for certain types of conference calls.

Nonetheless, the principle that formality and structure give control is extremely relevant and can be implemented in other ways where a call might become difficult. For instance:

Finally, a lack of formality or structure - for instance having no appointed chair or no agenda - will increase the risk of difficulties.

Re: Hi there Re: Hi there - Welcome to the forum It Starts with you Prepare Doing business online is not much different than doing business offline, except for the obvious differences; location, brick and mortar, leases, licenses, signage, business cards and letter head, etc. First Advise: Prepare: It is not a simple, single step, sign up. we do all the work for you and sit back and collect your money process What do you already know about business and it its various functions, products and pricing, sales and marketing, distribution, after sales support, etc. You need a plan(s); plan for your business, plan for your marketing, a financial plan and a personal action plan. what do you and your business need and where are you going to get it. Most offline business start from an interest, a hobby or a passion. (sure you get buy a franchise and they train you, but this is going to be your business) Online should not be much different : What is your passion? Pick perhaps 3 or 4 and do your own due diligence, Join 1 or 2 and take responsible for your decision You are at a great advantage that you found us (EvanCarmichael) with your question. I answer my phone I answer my phone - when I worked in the Call Center we had to say "Good XXXXXX, Andy speaking, How may I help you?" imagine saying that over and over again. It kind of sticks with you. It's been a few years now but I've kicked off "How may I help you?" part.
Money I made while in School Money I made while in School - While in university I did have a Student Loan (still paying that bugger off) and had a part-time job as a Call Center agent (inbound). *Canada* I also designed websites (outsourced all the work). I just worked on getting new customers, managed the projects to completion and helped create Marketing Plans for my clients (Online and Offline). *Canada* When I was studying the in the States I also made some money as a Part-time Flight instructor. *USA*
