Scheduling – The heart of a project

A primary task managed by project management software is to work out a list of tasks and its various dependencies. When these tasks are identified, project managers will then allocate personnel and other resources required to implement and complete each of the tasks. The time duration of a project is also worked out given the inputs from the project manager or the project team. The software helps remind the project team of the requirements that are needed. This enables every member of the team to be constant to their tasks and not subject to any fluctuations. When these things are implemented effectively, this leads to a better control of the project and brings greater chances of a successful project.

Working out the critical path

When dependencies and estimated times are worked out, the team needs to identify the most critical path to determine the time required for the completion of the project. Long before project planning software arise, this was done manually which needed a lot of manpower and the number of hours needed for this was phenomenally high. With the built in algorithms of the project management software, it enabled to reduce the amount of time required to finish a project and continued to do this with speed even when changes happen.

Reporting and information

These are very important in every project management since every project manager and its members need to have their hand on the pulse of a project. Project management software allows the team to access the reports and other information or data that would help the team to keep close watch of the important things needed to be done or just about anything that could help in the success of the project.

• Project management software are available widely in the internet and they can be based on desktop applications. They can be further networked and file-based project plan can be shared between users. They are also being written to operate on multiple systems. These types of software runs the fastest (execution time) and has a better response time.
  
  
• A number of web-based applications are also available and are widely used by many people. These types of software requires users to register and use the application from any computer that is connected to the web. An advantage of these systems is that any upgrade in the system is instantly available to the users.
  
  
• They are also available as open source software which is free to download and use. Such software are being widely used and further develop since source codes are also free.
  
  

These types of software are available as an integrated software which can be combined with other aspects of a business or company such as when tracking time for every member, it will return to their payroll system that they are using in the department. This allows a better coordination with the various departments in a company or business which can help in its progress.

Why a project fails? - The top 10 factors that have driven failed projects are: 1. Project sponsors are often not committed to the objective. They have a lack of understanding of the project and are not actively involved in the project strategy and direction. 2. Some projects do not meet the strategic vision of the company. If business needs are not clearly defined, it will result in a project that does not add value to the bottom line or enhance business processes. 3. Projects are started for the wrong reasons. Some are initiated purely to implement new technology without regard for whether the technology is supportive of the business needs. The converse of this is a project that does not support existing technology, resulting in major scope creep and resultant expenditure. 4. Staffing is a reason for failure, eg not enough dedicated staff (project managers and project team members) allocated to projects. Project team members lack experience and do not have the required qualifications. Line-staff believe that they will be able to manage projects but are only 40% available to do so. Focus in this regard is not on the delivery of the project, but on the comfort zone of the project manager and his own time management. 5. Incomplete project scope. No clear definition of the project's benefits and the deliverables that will produce them. 6. A project plan that is non-existent, out of date, incomplete or poorly constructed and just not enough time and effort spent on project planning. 7. Project value management is not put into practice to evaluate baseline cost agreed during baseline transfer against actual costs spent at any given time. Project costs and financial do not form an integral part the project during execution. 8. Insufficient funding, and incorrect budgeting is still a major reason for projects not delivering their goals and objectives within the quality framework that was required, because projects always need to deliver yesterday within X budget. 9. No formal project management methodologies and best practices aligned to the company's specific needs are used to assist project performance. Companies do not want to invest in best of breed methodologies that will benefit the bottom line over a period, with projects delivered within budget. Companies do not recognise the value of using a methodology to support and enable them to record their own best practice project results for future reference, and to build a knowledge base within the company. 10. Not all project are going through a formal signed off process using a proper post mortem process to determine lessons learned and to build their own reference model for future use. A certificate signed off between sponsors and other third-parties will demonstrate project success but even that is quite seldom.

You'll get an idea of how expensive it will be, and the types of skills necessary to do it.
