How to reduce your resourcing costs for your projects - By Mahendra Gupta

Imagine – you are stressed out, your clothes are lying around your house, the dishes are dirty and you can’t find your spectacles. It is frustrating to have everything in a mess, making it hard to get things done, but the fact that your key instrument – your spectacles – are absent, means that you can’t see anything with any clear level of visibility. This makes it hard to do the find the right resource to get the job done around the house – finding detergent for the washing, finding the right spice for your cooking, finding the tie that matches your shirt.

It’s no different at work. When you don’t have a good lens to find the right resources to do your work, then everything slows down and becomes much harder to achieve. For example to manage a project you need a project manager, to design the details of a building you need a junior architect, to design an advertisement you need a graphic designer, a copywriter and an artist. However it can become really frustrating trying to find the person who’s available to do the job and fulfils your requirements when you don’t have visibility of what is available in the first place. Similar to not having glasses to see the ingredients you have available to cook a meal.

So what you need are the spectacles. A good set of lenses that will give you clarity over the things you need to know to do your work -- clarity on the availability of roles, skills, dates and location.

Visibility of rolls and skills

Good resource management software will show a clear visibility on the roles and skills of each individual worker. It should have simple and comprehensive search functionality so that you can find your desired worker based on whatever your unique requirement is. This could be searching for an engineer based on the clients he or she has worked on, or finding an engineer based on the type of technology he or she has worked with. Furthermore, a manager should be able to view a detailed overview on each resource with ease. So a resource profile screen should be able to provide attachments for their CV or samples of past work, it should be able to display different skills and the level of experience in each skill.

Visibility of dates and duration available

A good resource lens will also show you the dates the resource is available. When they are fully available, partially available, fully booked or on leave. Furthermore, when a resource is already booked over a certain period of time and a manager attempts to book them on another job, the software should automatically highlight this and make all the managers involved aware of this.

Visibility of location

Finally good resource management software will also give you visibility of all the places your resources are located (similar to wanting to know where the remote is in your house!). It is much easier to find a resource to do a job when you know where they are located. There is no point finding someone to do your job, only to find out a week later that they’re located in another state, because that makes you spend double the time to do the same job.

So the same way you need your spectacles and a strong pair of lenses to be able to find your household items to do your housework. Similarly you need a good resource management software to serve as the lens for your organisation in order to find the right resources to complete your job. One such software is SAVIOM Resource Planning Software. Saviom has effortless yet powerful search functionalities for searching and booking resources on the jobs that allow a manager to input whatever search criteria they want based on interests, skills, availability and costs – so that finding the right resource with such software becomes as simple as putting on your glasses and looking through the right lens.
