As previously mentioned you can have the greatest new Business Management Software system in the world with all the bells and whistles but your organization will not benefit from the investment made if your staff does not adopt and use the new tools. Some of the typical challenges are not having employee buy-in, not providing enough training, and not including the right features in the software. Here are a few suggestions to keep in mind to ensure that your staff accepts and adopts your new Business Management Software system:
- Set the groundwork: Your staff should know that you are thinking about making some changes. Ask employees where they are wasting time with processes that could be automated. What frustrates them and how can software make it better? While you are evaluating different options, show your staff what benefits they will realize by adopting the software. A good example would be a before and after scenario so they can understand how they can directly benefit as supposed to just the company as a whole.
- Training: In order for your staff to maximize the benefits from your new investment they will need to learn how to use the tools you have given them. Training is a critical step to any Business Management Software implementation and should not be taken lightly. There are a number of options including having an in-house trainer come in and give workshops, having a web-based training system where employees can log in to take the workshops or having an e-learning tool where your staff can learn at their own pace. Employees generally do not like new tasks that take up more of their time so you might have to consider offering incentives to get them to take the training. This could include bonuses and rewards or helping to offload some of their current responsibilities so they can have the time to go through the training. Make sure that by the end of the training your staff is fully competent on the new system. If there are sections that they still do not understand, identify these areas before your trainers end their assignment with you.
- Get feedback: To get your staff to adopt your new plan they should feel like they have a say and that it is partly their project. Each step of the way your employees should be involved and asked for their opinions. Will the features selected help them improve their jobs or are you missing a key tool that you did not consider? Was the training effective or do they need additional support to fully understand the software? By asking for their help you will not only get a better end product that will help your organization, you will get the buy-in from the people who will be using it every day.
